A new feature available in the Building Better Caregivers Referral Tool is the "Priority Referrals" page. Here you will see only the referrals that are pending your review. This will serve as a queue for referrals that need to be reviewed. They are your responsibility to review or assist in reviewing, depending on your position of POC, Backup POC, or other CSP Staff.
Point of Contact and Backup POC will see all the referrals that are pending review at their site.
Other CSP Staff will only see those referrals that have been specifically transferred to them and are pending review.
The red indicated number shows you the number pending.
Once you open the page, you will see a summary and instructions for your responsibility to review referrals on the page. See examples below:
"As Point of Contact for your site, you are responsible for having all the below referrals reviewed within 5 business days of the emailed notification. "
or
Other Staff will see:
"You are a CSP staff member and have been delegated the following referrals to be reviewed. These referrals may have been transferred to you from this site or another site. You are to assist with the below referrals within 5 business days of their notification."
The "Priority Referrals" queue page is then divided into two sections, Self-Referrals and Re-enrollments. See example below.
Some basic information about the referral is available on the page, including the Caregiver's Name and Email, and the referral's designated POC or CSP Staff. To view further caregiver details or edit the referral, click the "Edit/view" (see below)
Here you can see the caregiver's phone number to reach out to them and offer them Caregiver Support Program enrollment.
Once the Caregiver is successfully enrolled in either PGCSS or PCAFC, you may indicate the Caregiver Type and Carma ID, then "Update". The caregiver will then be automatically scheduled for an upcoming Building Better Caregiver workshop.
Other Caregiver Types, such as "No Response", "Not Eligible", or "Caregiver Decline", will notify the caregiver by email, and they will not be scheduled into a workshop. This referral type can be updated later, should a caregiver be late in applying to enroll in the Caregiver Support Program, for example.
Full instructions on reviewing referrals can be found here: POC - Point of Contact for Site and Responsibilities, and How to review a referral for CSP Staff.
Whichever Caregiver Type is selected, this will remove the referral from the "Priority Referrals" queue page. No further action will be needed for that referral.
IMPORTANT NOTES:
Transferring
Should you find, after speaking with the caregiver, that they should have picked a different site for enrollment (Veteran has treatment at a different VA Health facility), you may transfer the referral. Do NOT indicate caregiver type. Leave as-is and Transfer instead.
To do this, go back to the Priority Referrals page, click the "Transfer" link on the referral. (see below)
Your POC may also use this "Transfer" option to delegate referrals to other staff within your site, to assist should your site have extra volume pending reviews in your Priority Referrals page.
Extended leave/ New Referral Notifications
Each site POC may delegate other staff to receive "New Referral notifications" that will also allow those staff to see ALL site referrals pending review in their "Priority Referrals" page, similar to POC. See the link for POC instructions. This can help should the POC not be available for an extended period of time. Receiving New Self-Referral Notifications.
